Appointments are scheduled by phone or email. All services are provided by appointment only.

Appointment Lengths:

  • New patient psychiatric evaluation: 60 minutes

  • Standard follow-up appointment: 30 minutes

  • 15- or 45-minute appointments may be scheduled based on clinical need, provider discretion, or patient request.

Telehealth services are provided via a secure, HIPAA-compliant platform.

General Follow-Up Standards

The following outlines general clinical guidelines. Individual treatment plans may vary:

  • 1–2 weeks after initial evaluation

  • 1–2 weeks after starting a new medication or making medication changes

  • Approximately 4 weeks after stabilization assessment

  • Up to every 12 weeks once in maintenance stage of treatment

  • After one year of documented stability, some low-acuity patients (single diagnosis, monotherapy) may request to be seen every 6 months at provider discretion.

Patients prescribed controlled substances must be evaluated at least every three (3) months, or more frequently if clinically indicated, in accordance with state and federal law.

Follow-up intervals are determined by clinical judgment and may be increased based on symptom severity, risk level, medication changes, or complexity of care.

Cancellations and No Shows

At least 24 hours’ notice is required to cancel or reschedule an appointment and cancellations with less than 24 hours’ notice or missed without notice may incur a $75 administrative fee. This fee is not billable to insurance and will be charged to the payment method on file.

If a patient arrives 10 minutes or more after the scheduled start time, the appointment may be canceled and treated as a missed appointment.

Repeated missed or late-canceled appointments (two or more within a 12-month period) may result in discharge from the practice.

If a patient has not been seen for more than six (6) months and has not scheduled a follow-up appointment despite reasonable outreach, the chart may be administratively closed and the patient discharged in accordance with applicable law.

Short-term medication refills may be provided at provider discretion following a missed appointment; however, a follow-up appointment must be scheduled promptly (typically within two weeks).

Fees & Insurance

Renewal Psychiatry, LLC participates with selected insurance plans. The current list of in-network plans is available on our website and is subject to change.

It is the patient’s responsibility to verify insurance coverage and deductibles with their insurance company prior to scheduling.

We will submit claims to insurance as a courtesy, however ultimate financial responsibility remains with the patient in the case of a denial.

Upon request, we will provide CPT codes and a Good Faith Estimate in accordance with the No Surprises Act.

A valid payment method must be maintained on file prior to receiving services.

Forms and Paperwork

Will only be considered for established patients under the care of Renewal Psychiatry for at least 6 months. Requests for administrative paperwork such as FMLA forms, disability documentation, or accommodation letters are not billable to insurance and will incur an additional fee for time spent completing these requests. Please allow 5-10 business days for completion. FMLA or disability forms: $75| Accommodation letters: $50

Confirmation of treatment letters are free of charge.

Prescription Refills

Refill requests must be submitted using the Prescription Request Form on our website.

Refill requests are not accepted from pharmacies.

Requests must be submitted at least three (3) business days in advance.

Refills are not processed after hours, on weekends, or during holidays.

Patients must attend follow-up appointments consistent with their treatment plan to remain eligible for prescription refills.

All prescriptions are issued at the provider’s clinical discretion.

Controlled substances may require more frequent visits, urine drug screening, in-person evaluations, and prescription monitoring review.

Controlled substances will not be refilled outside of scheduled appointments.

Benzodiazepines will be prescribed for a maximum 14 day supply, or less, based on prescriber discretion.
